Experienced in Office Management:
3
years in a similar role, with experience in human capital management, fleet and business compliance, bonding, and Safety/OSHA compliance.
Experienced in vendor management and contract negotiations.
Educated & Certified:
Bachelor's degree in Business, Finance, or a related field preferred.
SHRM Certification (SHRM-CP) is a bonus.
Knowledgeable in Payroll and Compliance:
Experience with Certified Payroll and a strong understanding of compliance requirements in business operations.
Leadership Skills:
Capable of supervising an office assistant and leading various administrative functions.
Self-Motivated:
Able to work autonomously, demonstrating initiative in tasks and projects.
Software Proficiency:
Proficient in using office software (Microsoft Office Suite and QuickBooks.
) What You'll Be Doing:
Human Capital Management:
Oversee personnel records, onboarding/offloading, recruiting, application tracking, payroll oversight, and employee certification and compliance tracking.
Handle confidential and sensitive information with discretion.
Fleet and Business Compliance:
Manage vehicle registrations, IFTA filings, SAM (System for Award Management) registration, business and contractor licensing, renewals, navigate various annual audits, maintaining meticulous records to ensure full compliance with all regulatory requirements.
Safety/OSHA Compliance:
Provide general oversight of the company's safety program, including conducting regular briefings and developing hazard mitigation plans to ensure a safe work environment for all employees.
Supervisory Role:
Direct and support an office assistant responsible for time tracking, AP/AR, reception, and other functions.
Coordinate and effectively communicate with various departments within the organization ensuring efficient office workflow and productivity.
Contract Administration:
Handle and securely store contract documents and assist with contractor bond information.
Managing Outsourced Services:
Oversee outsourced HCM and FCM services such as payroll and accounting.
Company Culture and Team Building:
Spearhead the planning and execution of team building events and parties, playing a key role in shaping and nurturing the company culture to foster a cohesive, motivated, and engaged team.
Requirements:
Educational Background:
Bachelor's degree in Business, Finance, or related field preferred.
Certifications:
SHRM Certification (SHRM-CP) or preparedness to pursue this certification is highly desirable.
Experience:
Minimum 3 years in a similar role.
