Responsibilities:
The Bookkeeper/Administrative Coordinator handles accounts receivable, accounts payable, clerical duties, recruitment; new hire onboarding, employee/intern orientation, meeting management and data collection.
Also responsible for analyzing and improving processes within The Family Support Center of Ogden and ensuring that the agency operates smoothly.
S/he will coordinate documentation and reporting compliance within the agency.
Reporting Relationships:
The Bookkeeper/Administrative Assistant will report directly to the Assistant Director according to the chain of command outlined in the organizational chart and according to the written policies in the employee handbook.
Duties:
Bookkeeping Accounts Receivable/Accounts Payable/Payroll/Employee Resources Conducts duties associated with accounts payable including expense coding and data entry, documenting and posting contributions and other revenues, preparation of donor records, and general ledger work.
Maintains records of financial transactions by establishing accounts; posting transactions Maintains system to account for financial transactions by using established chart of accounts and defined bookkeeping policies and procedures Maintains subsidiary accounts by verifying, allocating, and posting transactions Balances general ledger and subsidiary accounts by reconciling entries Maintains general ledger; prepares a trial balance and transfers subsidiary account summaries Maintains historical records by filing documents and prepares year-end donor tax letters Renders financial statements and gathers necessary financial information for federal and state filings Performs other special projects and duties as assigned Payroll processing and record keeping Process monthly billing for all contracts Duties:
Human Resources Maintain employee recruitment, employee files and ongoing training.
Provide visibility to the community about employment and volunteer opportunities at the agency.
Complete interviews in collaboration with executive director and/or department coordinators.
Verify job candidates' previous employment and speak with references.
Submit initial/annual background check information and maintain ongoing compliance with necessary documentation.
Complete E-verify process for new hires.
Provide all training necessary to FSCO staff and volunteers to keep the agency in compliance with all state, federal and local mandates.
Provide support to both staff and volunteers.
Maintain ongoing employee/intern files and training documentation.
Provide training opportunities to staff to stay in compliance with contracts.
Gather & verify hours on timesheets and file.
Coordinate periodic performance evaluations in collaboration with department coordinators.
Duties:
Administrative Provide data collection and compilation for contract reporting and act as Contract Compliance Monitor for all departments.
Assist with Grant research, compliance, and reporting.
Collect all data pertinent to contracts.
Accurately compile and store confidential data in accordance to agency policies.
Make data available to various departments and assist with reporting requirements.
Report any issues regarding daily data collection immediately to department heads.
Create survey forms, compile survey data daily and report as requested to other members of QA committee & various department heads.
Compile data at end of quarter and utilize information to evaluate effectiveness.
Maintain donor retention practices through completion of thank you cards/letters.
Assist with information/data gathering aligning with compliance in all departments.
Participate in on-site reviews by funding agencies.
Prepare for all audits of programs and classes, assuring that all documentation, recordkeeping, and compliance requirements are met and monitor on a quarterly basis.
Assist with social media and marketing.
Be familiar with expectations for current contracts and assist Executive Director with grants as needed.
Address needs of programs that are not being met and help find solutions to meet those needs.
Manage donations.
Train incoming volunteers and maintain training records.
Collect donations from community members.
Log, provide receipts and keep organized.
Assist with planning of special events and participation at the event.
Ensure the office is well maintained, and all supplies are stocked.
Housekeeping, shopping and preparing food for staff meetings.
Meeting Summaries Management of the Wellness program Safety Officer Inventory management Support employees by facilitating interdepartmental communications and interactions between internal and external parties.
Perform additional duties as assigned.
